Who this notice covers.

Trawoa operates trawoa.com, including its travel-planning content, enquiry services and Trawoa Medical information service. In this notice, “Trawoa”, “we”, “us” and “our” refer to the operator of these services.

This notice applies when you browse the website, contact us, request planning support, enquire about working with us or begin a non-emergency medical-travel enquiry. A hospital, booking platform, payment provider or other third party will usually have its own privacy notice for information it receives directly.

What we may collect.

  • Contact details such as your name, email address, telephone number and preferred language.
  • Travel details such as intended destinations, dates, party size, interests, budget range and accessibility requirements.
  • Enquiry and correspondence records, including information you choose to provide through a form or email.
  • Technical and usage information such as IP address, device and browser information, page requests, referral source and consent preferences, where collected by our hosting, security or analytics tools.
  • Commercial and service records needed to prepare, administer or support an agreed service.
  • For recruitment or partnership enquiries, professional information that you choose to send.

Please do not send passport numbers, complete medical records or other highly sensitive documents in an initial website enquiry. We will explain an appropriate channel if more information is genuinely needed.

04 · Medical privacy

Extra care for health information.

An initial Trawoa Medical conversation should contain only enough information to understand the broad type of request. If detailed records are later required, we will explain the intended recipient, purpose and transfer method before asking you to proceed.

Health information is sensitive personal data. Where we process it, we will identify an appropriate legal basis and a separate condition for sensitive data, limit access to those who need it and retain it only for a justified period. Hospitals and clinicians make their own clinical decisions and normally act as separate controllers of records they receive.

Trawoa Medical is not an emergency service. For urgent or life-threatening symptoms, contact local emergency services immediately.

05 · Recipients

When information may be shared.

  • With service providers supporting hosting, security, communications, forms, translation or administration under appropriate instructions.
  • With a planner, supplier, hospital or other provider when this is necessary for a request and you have been told what the next step involves.
  • With professional advisers, regulators or authorities where required by law or reasonably necessary to protect rights and safety.
  • As part of a genuine business reorganisation, subject to appropriate confidentiality and notice requirements.

Some providers or recipients may be outside your country. Where data protection law requires safeguards for an international transfer, we will use an appropriate transfer mechanism or rely on another lawful exception.

06 · Safeguards

Retention and security.

We retain information according to its purpose, sensitivity, legal requirements and whether an enquiry becomes an active service. Routine enquiries are not kept indefinitely. Contract, tax, dispute or safeguarding records may need to be kept longer. Health records should be minimised and deleted or returned when the coordination purpose and required retention period end.

We use proportionate technical and organisational safeguards, but no internet service can promise absolute security. If you believe information has been sent to us in error, contact us promptly.

07 · Choices

Your data protection rights.

Depending on your location and the circumstances, you may have rights to ask for access, correction, deletion, restriction, portability or an objection to certain processing. Where processing relies on consent, you can withdraw that consent without affecting earlier lawful processing. You may also complain to the data protection authority in your country.

We may need to verify your identity before acting on a request. Some rights are subject to legal limits, and we will explain if an exception applies.
